Integrations guide, step by step

Updated on October 26, 2026

For anyone who clicks Connect on the Integrations page and wants to know what to have at hand and where to get each piece of information. Providers' screens change: if a menu name looks different, search for the option's name on the provider's page.

  • Before you start
  • How we handle your secrets
  • Messages: Telegram and WhatsApp
  • Automatic email
  • Meetings: Zoom, Meet and Teams
  • Cloud: Drive, Dropbox, OneDrive and S3
  • Documents: Google Docs, Sheets, Slides, Word, Excel and PowerPoint
  • Projects: Trello, Jira, Linear, Asana, ClickUp, monday.com and Azure DevOps
  • AI keys
  • Saved logins
  • When something does not work, and a summary

Before you start

How to read each row's button and label

LabelButtonWhat it means
Not connectedConnectNothing set up yet. Click and follow the guide for your integration.
ConnectedManageWorking. Opens the panel to adjust or disconnect.
ErrorFixThe connection exists but stopped (changed password, revoked access, rejected key). Open it and reconnect.
UnavailableComing soonThe server does not enable this integration yet. There is nothing for you to set up.

When a connection succeeds, the page shows "connected" and TranscritorAi sends you an email about the change. If that email arrives and you did nothing, disconnect and change your account password.

Two ways to connect

  1. Sign in on the provider's site (OAuth): Google Drive, Dropbox, OneDrive, Zoom, Google Meet, Teams, Trello, Jira, Asana, ClickUp, monday.com, Azure DevOps and Linear. A provider window opens, you sign in and accept. Your password never goes through TranscritorAi and there is nothing to copy and paste.
  2. Paste a key or an app password: Telegram bot token, email over POP3, Amazon S3, AI keys, the meeting bot and your own apps. This guide explains where to create each one.

Rules that apply to everything

  • Pop-up blocked? The provider sign-in opens in a separate window. If your browser blocks it, the page continues in the same tab. Allow pop-ups for the TranscritorAi site and click again.
  • Secrets appear only once. Copy the key right away. If you lose it, create another one at the provider and register it again.
  • Never send a key or password by email, WhatsApp or support chat. The only place to paste it is the popup field on the Integrations page.
  • The cost is the provider's, billed directly to you. AI keys, the meeting bot and your own Microsoft app are billed by the vendor to your account. TranscritorAi is not part of that payment.
  • You can disconnect at any time. Disconnecting deletes the credential on our side. What was already created in your cloud, tasks or files stays there. To revoke access for good, also remove it at the provider (each section says where).
  • You must be signed in to TranscritorAi. Without signing in, the page only shows the Sign in button.

How we handle your secrets

What we never store

  • The password you use to sign in to Google, Dropbox, OneDrive, Zoom, Microsoft, Trello, Jira, Asana, ClickUp, monday.com, Azure DevOps, Linear or Meta. Sign-in happens on the provider's site. TranscritorAi only receives an access token, which you can revoke whenever you want.
  • Your TranscritorAi account password in readable form. It becomes a hash, a "fingerprint" from which the original password cannot be recovered. When the panel asks for "Your password, to confirm", it is only checked, never copied.
  • An email password on the forwarding path (Hotmail, Outlook, iCloud or any other): that path uses no password at all.
  • No secret comes back to the screen. Once saved, a key, token or password is never shown again. The panel shows at most the end of the key, such as "ends in 3f9a".
  • The provider's raw text in errors. The error messages you see are our own texts.

What we store, always encrypted

Each item below is written to the database already encrypted (Fernet: AES with integrity check, cryptography library), with separate encryption keys for each type of integration. If the server does not have the key for a type, that integration stays switched off entirely, instead of storing the secret unencrypted.

What you provideHow it is stored
Telegram bot token and WhatsApp (Meta) credentialEncrypted
App password for the email mailbox (POP3)Encrypted, and deleted when you disconnect the mailbox
Access tokens for Google Drive, Dropbox and OneDriveEncrypted
Amazon S3 access key and secret (and compatibles)Encrypted
Trello, Jira, Asana, ClickUp, monday.com, Azure DevOps and Linear tokensEncrypted
Zoom, Google Meet and Teams tokens, the secret of your own Teams app and the meeting bot keyEncrypted
AI keys (Anthropic, OpenAI, Gemini, Perplexity, DeepSeek, Manus) and your own Trello app (Client ID and secret)Encrypted, in a key vault
Saved site logins (username and password)Encrypted, used only for that site

When you disconnect or delete: the credential is deleted on our side. What was already created (files in your cloud, tasks, transcriptions) stays with you. Deleting here does not revoke access at the provider: for that, use the "Revoke for good" line in each section.

What encryption protects and what it does not

It protects the contents of the database and of backups: anyone who copied only the database file would read none of your secrets. No encryption protects against someone who breaks into the server itself, where the keys live. So it is also worth doing the following:

  • Give keys the least power possible: the minimum S3 policy, read-only access on project platforms, a spending limit on AI keys.
  • If you suspect a leak, revoke at the provider first and only then delete here.
  • Never paste secrets into email, support chat or anywhere other than the popup fields on Integrations.

Messages: Telegram and WhatsApp

Telegram (your own bot), about 3 minutes

Have at hand: Telegram and your TranscritorAi account password (plus the two-step verification code, if you use it).

  1. In Telegram, search for @BotFather (the official bot, with the blue verified badge).
  2. Send /newbot.
  3. It asks for the bot's name (anything works) and then its username, which must end in bot, for example my_transcriber_bot.
  4. BotFather replies with the token, something like 123456789:AAH.... Copy it. This token is the bot's password: do not share it. It is stored encrypted and never shown again.
  5. In TranscritorAi: Integrations, Messages, Telegram, Connect.
  6. Paste the token into Bot token, type your password to confirm (and the two-step verification code, if asked) and click Connect.
  7. A pairing code appears. It is valid for 10 minutes and can be used once. Click Open the bot in Telegram and tap Start, or send the code to the bot.
  8. The status becomes Ready to use. Send or forward audio, videos, files or links to the bot and the transcription comes back in the same chat.
  • Bot commands: /status, /creditos, /cancelar, /desconectar.
  • Limit: Telegram accepts files up to 20 MB. Send larger ones through the site.
  • Code expired? Click Generate another code.
  • "Could not connect": the token was pasted with a space or a piece is missing, or it belongs to a deleted bot. Create a new one with /token in BotFather.
  • Revoke for good: in BotFather, /revoke (creates another token and kills the old one) or /deletebot.

WhatsApp (WhatsApp Business account), about 5 minutes

Have at hand: a WhatsApp Business number (a number just for this, or the WhatsApp Business app; regular WhatsApp does not work), a Facebook account and your TranscritorAi password.

  1. Integrations, Messages, WhatsApp, Connect.
  2. Type your TranscritorAi password and click Connect with Meta.
  3. In the Meta window, sign in with Facebook, choose or create the WhatsApp Business account, choose the number (or add it and verify it by SMS or call) and accept the permissions.
  4. Back on the site a code appears. From your personal WhatsApp, send that code to the connected number (the Open WhatsApp button opens the chat for you).
  5. Done: send or forward audio, videos, files or links to the number and the transcription comes back in the same chat.
  • Replies within 24 hours of your last message carry no message fee from Meta.
  • "WhatsApp has not been enabled on this server yet": the button shows up, but TranscritorAi's side of the setup with Meta is not finished. It is not your mistake. Use Telegram in the meantime.
  • Revoke for good: in your Facebook settings, under Business Integrations, remove TranscritorAi.

Automatic email

Makes the text, attachments and (if you want) links of your emails go into the transcription queue on their own, with the same credits as an upload on the site. First, confirm the email of your TranscritorAi account (the page warns you if it is missing). If you see "not included in your plan", the feature is not available on your plan.

Hotmail, Outlook and Live sign in through Microsoft, with no password stored, and Apple iCloud connects through IMAP with an app password. Forwarding works for any provider.

PathWhen to useDoes it store your password?
Forward to a TranscritorAi addressHotmail, Outlook, iCloud or any providerNo
Connect the mailbox over POP3Gmail, Yahoo, Zoho, UOL, Hostinger or your own domainYes, an app password (encrypted)
Sign in with MicrosoftHotmail, Outlook and LiveNo (only a read authorization)
Connect the mailbox through IMAPApple iCloudYes, an app password (encrypted)

Path A: forward (any provider)

It works with any provider and stores no password or authorization. It is the choice for anyone who does not want to hand over access to the mailbox, and the only one for a provider without POP3, IMAP or Microsoft sign-in.

  1. Integrations, Email, (your provider), Connect. The panel shows the TranscritorAi address to forward to. Use Copy address.
  2. Allow your sending address. Only emails from a verified address are accepted, and your account email already counts. For another one, type it in Another address of yours, click Send code, open the email that arrived at that address and type the 6 digits in Confirm.
  3. Set up forwarding in your email. In Hotmail/Outlook (Outlook on the web): Settings, Mail, Forwarding, turn it on and paste the copied address, or create a rule that forwards only what you choose. In iCloud: iCloud.com, Mail, gear icon, Settings, General, turn on forwarding to the copied address.
  4. Pick the options and save: transcribe the email text, the attachments, follow the links, hide personal data (LGPD).
  5. Test: send yourself an email with an audio file attached. The result shows up in History.

Tip: create the forwarding rule only for one sender or one folder, otherwise every email in the mailbox spends credits.

Path B: connect the mailbox over POP3

ProviderPOP3 serverPort
Gmailpop.gmail.com995 (TLS)
Yahoopop.mail.yahoo.com995 (TLS)
Zoho Mailpop.zoho.com995 (TLS)
UOLpop.uol.com.br995 (TLS)
Hostingerpop.hostinger.com995 (TLS)
Otherwhatever your provider or host tells you995 (TLS) or 110 (STARTTLS)

The server and port fill in when you pick the provider. The login is always the full email address. The password is an app password, never your normal password. It is stored encrypted, never shown again and deleted when you disconnect the mailbox. Because it only opens the mailbox over POP3 (it does not sign in to your account), you can revoke it at any time without changing your main password.

Hotmail, Outlook and Live: Microsoft sign-in

  1. Hotmail, Outlook and Live do not accept a password over POP3. So you sign in with your Microsoft account: TranscritorAi never sees your password and only gets permission to read the mailbox.
  2. In Outlook on the web: Settings > Mail > Sync email, and under POP and IMAP choose "Yes" for "Let devices and apps use POP". Save.
  3. Here in TranscritorAi, type your Hotmail, Outlook or Live email and enter the allowed senders and/or a subject tag (for example [transcribe]).
  4. Click Sign in with Microsoft, pick the account and accept read access to the mailbox. When you come back, the mailbox shows as connected. To revoke, use Disconnect here or remove access at account.live.com/consent/Manage.

Apple iCloud: IMAP

  1. iCloud Mail does not offer POP3, but it accepts IMAP with an app-specific password: TranscritorAi only reads the inbox (imap.mail.me.com, port 993) and does not mark or change anything in your emails.
  2. At account.apple.com > Sign-In and Security > App-Specific Passwords (two-factor authentication must be on), click + and name it TranscritorAi. Copy the generated password (format xxxx-xxxx-xxxx-xxxx): it is shown only once.
  3. Here in TranscritorAi, choose Apple iCloud, type your full iCloud email address (name@icloud.com, @me.com or @mac.com) and paste the app-specific password. The server and port are already filled in.
  4. Enter the allowed senders and/or a subject tag (for example [transcribe]), click Test connection and then Connect.

Gmail

  1. At myaccount.google.com, open Security and turn on 2-Step Verification (required to create an app password).
  2. Still in Security, search for "App passwords" (or go to myaccount.google.com/apppasswords). Give it a name, such as "TranscritorAi", and click Create. Copy the 16 letters, without spaces. They appear only once.
  3. In Gmail: gear icon, See all settings, Forwarding and POP/IMAP tab. Under POP download, choose to enable POP for all mail (or only mail that arrives from now on) and save.
  4. In TranscritorAi: Integrations, Email, Gmail, Connect. Fill in the email (login) and the app password.

Yahoo Mail

  1. At login.yahoo.com/account/security, turn on two-step verification if it is not on yet.
  2. On the same page, generate an app password ("Other app"), give it a name and copy it.
  3. Connect in TranscritorAi with the server pop.mail.yahoo.com.

Zoho Mail

  1. In Zoho Mail, under Settings, Mail Accounts, POP Access, turn on POP.
  2. If you use two-factor authentication, at accounts.zoho.com, Security, App Passwords, generate a password and copy it.
  3. Connect with the server pop.zoho.com. Accounts in other regions (such as .eu or .in) use that region's POP server: check the Zoho panel.

UOL, Hostinger and your own domain

  1. Turn on POP3 in the email settings (in UOL Mail or in your domain's hosting panel).
  2. Use the server, port and password your provider gives you. On Hostinger, the login is the full email address.
  3. If the provider has no app passwords, use the mailbox password. When possible, create a mailbox just for this.

Filling in the form (all POP3 providers)

  1. Pick the provider, give it a nickname (optional) and enter the email (login) and the app password.
  2. Safety filter: for safety we only read what you choose. Enter allowed senders, separated by commas (for example ana@example.com, @company.com), and/or a subject tag (for example [transcribe]). "Accept any email" exists, but it spends credits on everything that arrives: avoid it.
  3. Keep Ignore emails already in the mailbox checked (recommended): the first read only records what is already there.
  4. "Delete from the mailbox what was transcribed" is optional. Leave it off if you are not sure.
  5. Click Test connection and then Connect.
  6. Reading runs on its own every few minutes. Read now forces a read (scheduled within 1 minute).
  • Test fails: almost always it is a normal password instead of an app password, POP turned off at the provider, or spaces in the password.
  • Mailbox "paused by error": the provider refused access (password changed or revoked). Create another app password and use Fix.
  • Revoke for good: delete the app password in your email account's security settings.

Meetings: Zoom, Meet and Teams

Connect your Zoom, Google Meet or Microsoft Teams account to receive the transcript the platform itself generated, without recording and without uploading a file. TranscritorAi only reads and never joins the call. Sign-in happens on the platform's site: TranscritorAi neither sees nor stores your password, only an encrypted access token.

Flow: Integrations, Meetings, (platform), Connect, sign in to the platform in the window that opens, accept the access and then adjust the rules.

The key point: connecting does not create a transcript. The transcript must exist on the platform. Check your platform's requirements before connecting.

Zoom

You need: a paid Zoom plan with cloud recording and audio transcript turned on.

  1. At zoom.us, open the host's Recording settings.
  2. Turn on cloud recording and the option to create an audio transcript.
  3. Record meetings to the cloud (automatically or manually). Without cloud recording there is no transcript.
  4. In TranscritorAi, click Connect and accept the access in the Zoom window.

Revoke for good: Zoom Marketplace, Manage, Added Apps.

Google Meet

You need: a paid Google Workspace edition that includes transcripts (for example Business Standard or higher). Personal @gmail.com accounts usually do not generate transcripts.

  1. Connect with the meeting organizer's account: the transcript belongs to whoever organized it.
  2. In the meeting, turn on transcription (Activities, Transcripts), or ask the Workspace administrator to turn it on by default.
  3. After the meeting ends, the transcript takes a few minutes. TranscritorAi fetches it on its own.
  4. In TranscritorAi, click Connect, choose the organizer's account and accept read access to meetings.
  • Google's "unverified app" warning: until the app's verification is finished, Google may show a warning. Only continue if the page is accounts.google.com and the app is TranscritorAi.
  • Revoke for good: myaccount.google.com/permissions, TranscritorAi, Remove access.

Microsoft Teams

You need: a Microsoft 365 work or school account (a personal Hotmail/Outlook account has no Teams transcripts) with meeting transcription turned on. The administrator usually has to approve the access.

  1. Ask the Microsoft 365 administrator to allow Teams meeting transcription for your account.
  2. In the meeting, start transcription (More actions, Record and transcribe, Start transcription).
  3. In TranscritorAi, click Connect and sign in with the organization account. If Microsoft asks for administrator approval, send the request to them and connect again afterwards.

Your own app (optional, but it may be required). Microsoft charges for use of the transcription API. If the panel says "To connect this platform, register your organization's application", or if you prefer the charge to land on your own Azure subscription, register an app of your own:

  1. At portal.azure.com, open Microsoft Entra ID, App registrations, New registration.
  2. Name: "TranscritorAi". Account type: this directory only. For the redirect URI, type Web, enter https://<site address>/api/reunioes/integracoes/teams/callback, replacing the part between the signs with the TranscritorAi domain, the same one you use in your browser, with no trailing slash. Register.
  3. Copy the Application (client) ID and the Directory (tenant) ID.
  4. Under Certificates and secrets, create a new client secret and copy the Value right away (it disappears later).
  5. Under API permissions, add Microsoft Graph, delegated permissions: User.Read, OnlineMeetings.Read, OnlineMeetingTranscript.Read.All and offline_access. Then an administrator of the tenant must grant consent.
  6. In TranscritorAi, in the Teams panel, fill in the application ID, the application secret and the organization (the directory ID) and click Save application. Only then click Connect. To go back to TranscritorAi's own app, use Remove application.

Microsoft's transcription charge lands on the Azure subscription tied to the app. Without a subscription, a small volume works in evaluation mode and then Microsoft refuses. Revoke for good: at myapps.microsoft.com, remove the consent (Microsoft does not allow revoking through the API, so disconnecting only deletes the token on our side).

After connecting: rules and schedule

  • Capture: only when I ask, all meetings, or only those with a word in the title.
  • Summary and action plan, hiding personal data (LGPD) and an email when it is ready are optional.
  • Look for meetings now lists the ones from the last 7 days. "Upcoming meetings" lets you pick one by one what to transcribe.
  • Tell participants that the meeting will be transcribed. You are responsible for having permission to do so.
  • Some options may cause an extra charge taken from your meeting balance (for example Teams through TranscritorAi's app). In that case the page asks for your consent. Without consent and without balance, nothing is transcribed. You buy the balance under Plans.

Bot in the meeting (for meetings the platform does not transcribe)

A participant named "TranscritorAi" joins the call, and the host must admit it. The bot belongs to an external vendor (today, Recall.ai) and uses its account. The bot key is stored encrypted.

  1. Create an account at recall.ai and generate an API key in the dashboard. Note the account's region (for example us-west-2, us-east-1, eu-central-1 or ap-northeast-1).
  2. In the Bot in the meeting block, choose the vendor and the region (the same as your account), paste the key into "Key of your account" and click Save key.
  3. Tick the charge consent. The charge is the vendor's, billed directly to you.
  4. Paste the meeting link (Zoom, Meet or Teams), tick that you told the participants and click Send the bot. Admit "TranscritorAi" into the meeting.

Limits: at most 2 bots at the same time and a monthly cap per account. Without your own key, it may be possible to use the bot against your meeting balance, if the server offers that.

Cloud: Drive, Dropbox, OneDrive and S3

TranscritorAi saves your files and transcriptions in a folder called transcritorai in your cloud, without using your plan's storage. You choose what it can do:

PermissionWhat it does
Save onlySaves your files and transcriptions in the transcritorai folder.
Import onlyYou pick files from the cloud to transcribe.
Save and import (recommended)Both.

After connecting: Use as destination sets which cloud receives new files, Move my files to the cloud sends what is still only on the site, and Import from the cloud fetches files to transcribe.

Google Drive, Dropbox and OneDrive (sign in at the provider)

  1. Integrations, Cloud, (provider), Connect.
  2. Choose the permission and confirm.
  3. In the provider's window, sign in, read the permissions and accept. The transcritorai folder is created on its own.

Your password never goes through TranscritorAi: we only store the token, encrypted. What each provider grants:

  • Google Drive: only the files TranscritorAi itself creates. To import, you pick the files in Google's picker.
  • Dropbox: in save-only mode, access only to the Apps/transcritorai folder.
  • OneDrive: in save-only mode, only the app's folder (Apps). Importing, or using the folder at the root, needs access to your files. Work or school accounts may need administrator approval.
  • Widening the permission later means linking the account again (Reconnect).
  • Revoke for good: Google at myaccount.google.com/permissions, Dropbox under Settings, Security, Connected apps, OneDrive at account.microsoft.com/privacy (or myapps.microsoft.com for work accounts).

Amazon S3 and compatible services (AWS, Alibaba OSS, iDrive e2 and others)

This is the only one that asks for keys, because it has no "sign in on the site". Create a key just for TranscritorAi, with minimum permission. Never use the AWS root key. The access key and secret are stored encrypted and never shown again.

Have at hand: an account with the service and a bucket (the storage's "root folder").

  1. Create the bucket if you do not have one. Note its name and region (for example us-east-1 or sa-east-1).
  2. In TranscritorAi: Integrations, Cloud, Amazon S3, Connect. Choose the service and enter the bucket, region and permission. The popup shows the minimum access policy generated for your bucket: click Copy.
  3. In AWS: IAM, Users, Create user (for example transcritorai), without console access. Open the user, Permissions, Add permissions, Create inline policy, JSON tab, paste the copied policy and save.
  4. Still on the user: Security credentials, Create access key ("application outside AWS" use case). Copy the Access Key ID and the Secret Access Key. The secret appears only now.
  5. Back in TranscritorAi, paste the Access Key ID and the Secret Access Key and finish with Connect.
  6. Click Test connection. "Connection working" means done. If it says the key reaches the whole bucket, the policy is too broad: replace it with the one copied from the popup.

Other compatible services: choose Alibaba Cloud OSS, iDrive e2 or "Other S3-compatible" and also fill in the service address (https), which the provider's panel shows. For Region, use the one the provider indicates. On MEGA, only MEGA S4 (S3-compatible) works here.

  • "The access key was rejected": wrong Access Key or Secret, or the key is deactivated.
  • "The key has no permission": the policy was not attached, or the bucket name in it is not the same.
  • "The bucket does not exist in this region": name or region swapped.
  • Revoke for good: in IAM, deactivate or delete the access key.

Providers shown as unavailable

iCloud Drive, Proton Drive and NordLocker: the company does not offer access to outside apps. Regular MEGA: under security review (use MEGA S4 through S3).

Documents: Google Docs, Sheets, Slides, Word, Excel and PowerPoint

Turn the documents you already keep in the cloud into text. There is no new login: the Documents tab uses the same connection as the Cloud tab, only with the minimum permission to read what you choose. Each document has its own Connect button, with its own step by step.

DocumentConnection usedWhat TranscritorAi readsHow it becomes text
Google DocsGoogle DriveOnly the files you choose in Google's file pickerExported as a PDF and read
Google SheetsGoogle DriveOnly the files you choose in Google's file pickerExported as .xlsx, each tab becomes a table
Google SlidesGoogle DriveOnly the files you choose in Google's file pickerExported as a PDF and read
WordOneDriveOnly the files you choose in the list (read-only permission).docx: paragraphs and tables
ExcelOneDriveOnly the files you choose in the list (read-only permission).xlsx: each tab becomes a table
PowerPointOneDriveOnly the files you choose in the list (read-only permission).pptx: text, tables and notes of each slide

Google Docs, Sheets and Slides, about 2 minutes

Have at hand: the Google account where the documents are.

  1. Integrations, Documents, click Connect on the document's row and then Connect Google account.
  2. In the Google window, choose the account, read the permission and click Allow.
  3. The window closes by itself and the three Google rows turn green, saying Connected.
  4. On Home, click Integrations › Google Drive, choose the documents in Google's picker and confirm.
  5. The files go into the queue, use credits like any upload, and the text is in My files.

What Google grants: only the files you choose in the picker, never the whole Drive. TranscritorAi does not edit, move or delete any document. Google documents are exported on the spot (PDF and .xlsx) only for the transcription.

How to see and choose your Google documents

  1. Connect your Google account in this tab (Connect button). When the row turns green, saying Connected, access is granted.
  2. Go to Home and click Integrations › Google Drive.
  3. Google's file picker opens with the list of your files. To find what you want, use the search box at the top or the side menu (such as Recent, My Drive and Shared with me).
  4. Recognize the type by the icon: blue is a Doc, green is a Sheet and yellow is a Slides presentation. Click a file to tick it (you can tick several).
  5. Click Select. TranscritorAi only sees the files you ticked here; the rest of your Drive stays closed to it.
  6. The files go into the queue and are transcribed. When an item is ready, click View to read the text in a popup (with a Copy button).
  7. The results are also in My files, where you can open, download or send them to an AI. The original document stays in Google, untouched.

Word, Excel and PowerPoint, about 3 minutes

Have at hand: the Microsoft account of the OneDrive and the file saved there as .docx, .xlsx or .pptx.

  1. Save the file to OneDrive. Old files (.doc, .xls, .ppt) need to be saved as .docx, .xlsx or .pptx.
  2. Integrations, Documents, click Connect on the document's row and then Connect Microsoft account.
  3. In the Microsoft window, choose the account, sign in, read the permission (read your files) and accept.
  4. The window closes by itself and the three Microsoft rows turn green, saying Connected.
  5. Click Choose files to transcribe, tick the files and click Transcribe. The Integrations button on Home opens the same list.

What Microsoft grants: only read permission for the files in your OneDrive. TranscritorAi does not write, edit or delete anything, and does not read email, calendar or contacts. Works with a personal account and with a work or school account.

When something does not work

  • The Integrations › Google Drive button does not show on Home: reload the page after connecting. If it stays hidden, Google's file picker has not been turned on on this server yet.
  • The Microsoft window asks for administrator approval: it is a work or school account. Ask whoever manages the account to allow the TranscritorAi app and try again.
  • A .doc, .xls or .ppt file: the old format is not read. Open the file and save it as .docx, .xlsx or .pptx.
  • A password-protected file: remove the password before importing.
  • OneDrive is connected only to store files: open a Microsoft document, click Connect again and accept the read permission.
  • Want to remove the access: use Manage in the Cloud tab. What TranscritorAi has already converted stays in My files.

Projects: Trello, Jira, Linear, Asana, ClickUp, monday.com and Azure DevOps

Two uses, always with your own account in the tool, and TranscritorAi never changes or deletes tasks that already exist. Send to project turns the minutes of a transcription into tasks, and you review everything before they are created. Import task by link (Trello and Jira) reads a task whose link you pasted into the links field on Home and transcribes the attachments you choose. To extract tasks you need an AI key of your own (see AI keys). Platforms: Trello, Jira, Linear, Asana, ClickUp, monday.com and Azure DevOps. All of them show Connect and the step-by-step guide; "Available" means you can sign in now, and "Being set up" means TranscritorAi is still finishing the activation (nothing for you to configure). Jira means Jira Cloud only, Azure DevOps needs a work or school account, ClickUp access is broad (it has no permission levels), and with monday.com Connect first takes you to the app installation and then to the authorization.

Connect

  1. Integrations, Projects, (platform), Connect.
  2. Under Access, choose Read and create tasks (needed to actually create them) or Read only.
  3. In the platform's window, sign in, choose the workspace or team (and, where it asks, the boards) and accept. The page shows the connected account.

Use

  1. In My files, open the transcription and click Send to project.
  2. Choose the connected account and the destination: board and list in Trello, workspace and project in Asana, team in Linear, space and list in ClickUp, site and project in Jira, board and group in monday.com, organization and project in Azure DevOps.
  3. Enter the participants (optional, separated by commas): it helps assign each task to the right person.
  4. Click Extract tasks, review (title, assignee and due date), tick only the ones you want and create them. Each task shows as created (with a link to open it) or as "already existed, not duplicated".

Import a task by link (Trello and Jira)

  1. On Home, paste one task link into the links field (several links still go to the list). If you have not connected the tool yet, the popup offers Connect.
  2. In the preview, see the text that was read (free), tick the attachments and check the credit estimate before anything is downloaded. Audio, video and PDF use credits.
  3. Click import: TranscritorAi transcribes and builds the final document, which you copy or download. It only reads: nothing is written to the tool, and the text we read is removed from our database after 7 days.

Trello with your own app (optional)

By default Trello uses TranscritorAi's app. To use an app of your own, with your own limit and access, register it under Integrations, AI, Trello with my own app:

  1. At trello.com/apps/admin, create an app with any name.
  2. On the OAuth 2.0 tab, choose the Confidential type.
  3. For the return URL, paste the address the TranscritorAi panel shows. It must be identical, with no trailing slash.
  4. Scopes: read:board:trello, write:board:trello and read:member:trello.
  5. Copy the Client ID and the Client secret, paste them into the fields and save. Then connect Trello as usual: it now uses your app. The secret is stored encrypted.

This credential is not tested when you save it: Trello only validates the pair when you authorize access, so connecting is the test. Deleting the app here undoes the access of accounts connected through it.

Revoke for good: Trello and Jira at id.atlassian.com/manage-profile/security, Asana under Settings, Apps, Linear under Settings, Account, Applications, ClickUp under Settings, Apps; for monday.com and Azure DevOps, in the authorized apps area of your account.

AI keys

This is where your AI keys live, used to extract tasks from transcriptions. The cost is yours, billed by the AI provider. The key is stored encrypted, in a vault with its own encryption key, and never shown again: the panel shows only the end of it. If the server does not have the vault switched on, the feature stays off instead of storing the key unencrypted.

Golden rule: a subscription (Claude Pro, ChatGPT Plus, Gemini Advanced, Perplexity Pro) is not an API key. An API key is created in the provider's developer dashboard and billed separately, by usage. Set a spending limit in the dashboard.

The default mode is "I use my own key (I pay the cost)". The "TranscritorAi takes care of everything" mode only appears if the server turns it on and requires you to accept the price. TranscritorAi uses the first valid key, in the order Anthropic, OpenAI, Gemini, Perplexity, DeepSeek.

ProviderWhere to create itFormatNote
Anthropic (Claude)console.anthropic.com, API Keys, Create Keystarts with sk-ant-Needs credits in the console (Billing).
OpenAI (ChatGPT)platform.openai.com/api-keys, Create new secret keystarts with sk-Needs a balance under Billing. It is not the ChatGPT subscription.
Google Geminiaistudio.google.com/apikey, Create API keylong text (letters, numbers, - and _)There is a free tier, with limits.
Perplexityperplexity.ai/settings/api, API Keys, Generatestarts with pplx-Needs API credits.
DeepSeekplatform.deepseek.com/api_keys, Create new API keystarts with sk- (same as OpenAI: pick the right card)Needs a balance; with none the API returns error 402.
ManusManus developer dashboard, API Keytext of 16 or more charactersOnly stored and tested: task extraction does not use it.

Step by step (same for all)

  1. Integrations, AI, Anthropic (Claude), Connect. The other providers appear in the same panel.
  2. Create the key in the provider's dashboard and copy it right away: it appears only once.
  3. Paste it into "Paste the key here" and click Save key.
  4. TranscritorAi tests the key right away, with a minimal request to the provider. Working: done. Could not be tested right now: the key was saved but the provider did not answer (network, limit or no balance), use Test later. Rejected by the provider: wrong, expired or revoked key, save a new one.
  5. Delete removes the key from TranscritorAi but does not revoke it at the provider. For that, also delete it in the provider's dashboard.

If task extraction fails: "key rejected" calls for a new key, "could not read the stored key" means you should save it again, and "no key" means you should save yours.

Saved logins

This is not a connection you create here: it is the list of sites for which you asked us to remember the login.

  1. Transcribe a page that asks for a password.
  2. In the login popup that appears, sign in to the site and tick save login.
  3. On later transcriptions of that site the login goes in on its own, with no popup.
  4. Under Integrations, Logins you see the saved sites and click Remove to delete one.

The username and password are stored encrypted, are not shown again on screen and are used only for that site. Remove deletes the record. If you change the password on the site, the next transcription asks for the login again.

When something does not work, and a summary

SymptomWhat to do
The provider's window does not openAllow pop-ups for the TranscritorAi site and click Connect again.
You came back from the window and it still says "Not connected"Wait a few seconds and refresh the page. If it persists, try again: "the provider did not confirm access" means you cancelled or denied a permission.
"Error" (red)Click Fix and reconnect. Causes: changed password or key, access revoked at the provider, expired session.
"Unavailable" or "Coming soon"The integration is not switched on at the server yet. Nothing for you to set up.
"Has not been enabled on this server yet"Same: TranscritorAi's app setup with the platform is not finished.
They ask for administrator approval (Teams, work OneDrive)Send the request to your Microsoft 365 administrator and connect afterwards.
You suspect a leaked keyRevoke at the provider first, then delete in TranscritorAi and save a new one.

Still stuck? Open Support and tell us the integration and the exact message on screen. Never include the key or the password.
